# Privacy Policy

Updated October 14, 2026

This policy covers agentrail.co: the public website, the newsletter, the agent readiness check, and booking a conversation with us. Personal data processed in the Agentrail Services is covered by the [Data Processing Agreement](https://www.agentrail.co/dpa).

This site is operated by Aeternus Inc. (“we”), 8 The Green, Ste A, Dover, Kent County, Delaware 19901, under the name Agentrail.

## What we collect

**Email address.** If you subscribe to Field notes or submit your email on this site, we store the address you submit. We use it to send the messages you asked for and to recognize the same address if you submit it again.

**Meeting details.** Book a call on the contact page, and Talk to us in the footer, each open a scheduler run by Cal.com. If you book a time, Cal.com collects what you enter there, such as your name and email, and shares it with us so the meeting can happen. Cal.com’s privacy policy applies to that form.

**Agent readiness check.** If you run a check, the address you enter is sent to the Agentrail API. If you also enter an email, that email is sent with the check so we can mail you about it, and this browser tab remembers it until you close the tab so the waiting page can show it. That memory is not analytics.

**How you use the site.** If you allow analytics, we use PostHog to record page views and a few actions, such as subscribing, a signup that did not go through, sharing a link, copying an article link, and booking a meeting. Before you submit an email, those events are not tied to your name or email. After you join, we link activity in that browser to the email you gave us. If you do not allow analytics, PostHog does not run in your browser. A signup is still stored for that signup, and it is not sent to PostHog.

**Visit counts.** If you allow analytics, Vercel counts page views in aggregate. That count does not use a cookie and does not identify you. It does not run until you allow analytics.

**Page speed.** If you allow analytics, Vercel records how fast the page loaded in this browser, including paint time and how quickly it responds to a click. That record does not use a cookie and does not identify you. It does not run until you allow analytics.

We do not ask for payment details on this site. We do not sell personal information, and we do not use your email for advertising.

## Why we use it

We use this information to send the newsletter, run the agent readiness check, send messages you asked for, hold meetings you book, understand how the site is used when you allow analytics, and keep the site working.

## Legal basis

We use the same rules for every visitor. If you are in the EEA, the UK, or Switzerland, those rules line up with the law like this:

- Newsletter emails, meeting bookings, and an agent readiness check you start are processed because you asked us to do those things.
- Necessary cookies are exempt from consent. The site needs them to remember this choice, credit a referral link you opened, and recognize your status page in this browser.
- Analytics is processed only with your consent. You can refuse it, and you can withdraw consent later. The newsletter, the check, and booking a meeting still work if you refuse.

## Who else handles it

A few companies process information so they can provide a service to us:

- Attio stores newsletter email addresses.
- PostHog processes site analytics only if you allow it. Our PostHog project is in the United States. Allowing analytics means that information is transferred there. If you refuse, we do not make that transfer from your browser, and we do not send your email signup to PostHog.
- Vercel hosts the site. If you allow analytics, Vercel also provides the visit counts and page-speed measurements above.
- Cal.com runs the meeting scheduler.
- Customer.io sends the newsletter, including the link to unsubscribe.

We do not give your email to other companies for their own marketing.

## How long we keep it

We keep your email while you are subscribed. If you ask us to delete it, we remove it. A copy may remain in backups for a limited time. If you had allowed analytics, events already sent may remain until that provider’s normal retention removes them. Withdrawing consent stops new analytics in this browser. It does not, by itself, delete events already received.

## Cookies and storage

Analytics stays off until you allow it. The banner asks every visitor, not only people in Europe. The choice is stored for six months. After that, we ask again. You can change it sooner from Cookie settings in the footer, or here:

**Necessary.** These are always on. They are not used for advertising.

- **ar\_consent** remembers whether you allowed analytics. About six months.
- **ar\_ref** is the referral code from a link you opened, so the person who invited you gets credit if you join. 30 days. Opening a page with ?ref= in the address sets the same cookie.
- **ar\_ref\_via** is the platform that referral link came from. 30 days. It is set only together with ar\_ref.
- **ar\_me** is set when you open your status page, so this browser can show that it is you. 30 days.

**Analytics.** Off until you allow it. Refusing or withdrawing does not block the site.

- **PostHog** stores an identifier in cookies and local storage whose names start with ph\_, so it can tell one visit from another. About a year. If you withdraw consent, we delete that storage in this browser and stop loading PostHog.
- **Vercel Web Analytics** does not set a cookie. It receives a page view, and only after you allow analytics.

**Only after you ask.**

- **Cal.com** loads when you open the meeting scheduler, not on an ordinary page view. Cal.com’s privacy policy applies to that form. Cal.com may then set its own cookies.
- **YouTube** plays the trailer from the youtube-nocookie.com domain only after you press play. YouTube may then receive that request.
- **Agent readiness email.** If you add an email to a check, this tab stores it in session storage until you close the tab. It is not sent to PostHog or Vercel.

We do not use advertising cookies.

## Your choices

You can allow or refuse analytics, and you can change that choice later, from Cookie settings in the footer of any page. Refusing or withdrawing does not unsubscribe you.

You can unsubscribe from our emails with the link in any of them. You can also ask us to remove you from our emails, delete the email you submitted, or correct it. Use [Contact](https://www.agentrail.co/contact), or reply to a message we sent you.

If you are in the EEA, the UK, or a place with similar rules, you can ask to access, correct, delete, or export personal information we hold about you, and you can object to or restrict certain uses of it. You can also complain to your local data protection authority.

## Children

This site is not meant for anyone under 16\. We do not knowingly collect personal information from children.

## Changes

If we change this policy, we will post the new version on this page and update the date above. If a change materially affects email addresses we already hold, we will also say so in a message to those addresses.
