# People and roles

> What Admins and Members can do, and how to invite people, accept an invitation, change roles and remove people.

Everyone in an organization is an **Admin** or a **Member**. Admins manage the organization, its people and everything in its workspace. Members see the workspace's results and can start agent readiness scans, without changing anything else.

## Roles

| What you can do | Admin | Member |
| - | - | - |
| See the Brand Vault, competitors, topics, tags, prompts, evaluations and their results | Yes | Yes |
| See executions, open their logs and select **Download code** | Yes | Yes |
| See agent readiness scans, start one with **Scan now**, and select **Copy fix prompt** | Yes | Yes |
| See feedback projects and their reports | Yes | Yes |
| Leave the organization | Yes, unless they are the only Admin | Yes |
| Move setup forward: **Start setup**, **Continue to drafting**, **Finish setup**, **Try again** | Yes | No |
| Edit the Brand Vault | Yes | No |
| Add, edit and delete competitors, topics, tags, preference prompts and experience evaluations | Yes | No |
| Start runs with **Run** on a prompt or evaluation, and **Re-run** on an execution | Yes | No |
| Change **Run settings** and **Agent readiness settings** | Yes | No |
| Delete an agent readiness scan | Yes | No |
| Create, edit, pause, resume and delete feedback projects, and manage their **Placements** and **Signing secrets** | Yes | No |
| Rename the organization | Yes | No |
| See **People** and invitations, invite people, and resend or revoke invitations | Yes | No |
| Change someone's role, or remove them | Yes | No |

The person who creates an organization is its first Admin. An organization always keeps at least one Admin: the last one can't be demoted, removed or leave.

## The People page

In Settings, select **People**. Only Admins can see the list of people and invitations.

The table shows each person's **Email**, **Role**, **Status** and **Joined / expires** date. **You** marks your own row.

Use **Search people** to find someone by email. The status filter offers:

* **Current people**: active members and pending invitations. This is the default.
* **Active**: members with access.
* **Pending invitations**: invitations not yet accepted.
* **Inactive**: people who were removed or who left.
* **Invitation history**: invitations that were accepted, declined, revoked or expired.
* **All statuses and history**: everything above.

A member is **Active** or **Inactive**. An invitation is **Pending**, **Accepted**, **Declined**, **Revoked** or **Expired**.

## Invite someone

<Steps>
  <Step title="Open People">
    In Settings, select **People**, then **Invite member**.
  </Step>

  <Step title="Enter their details">
    In **Invite a member**, enter their **Email address** and choose a **Role**. The role starts as **Member**; choose **Admin** to let them manage people and settings too.
  </Step>

  <Step title="Send it">
    Select **Send invitation**. Agentrail confirms with **Invitation created.** They can join using the link in their invitation email.
  </Step>
</Steps>

* An invitation expires 14 days after it is sent. Its date is in the **Joined / expires** column.
* You can't invite someone who is already a member, or who already has an open invitation. Resend the open invitation instead.
* Someone who left or was removed can be invited again.
* Settings opens once setup is finished, so invitations are sent after setup.

## Resend or revoke an invitation

Open the actions menu on a pending invitation's row.

* **Resend** sends a new invitation email with the same role. In **Resend this invitation?**, select **Confirm**. The previous invitation link stops working, and the new one is valid for 14 days.
* **Revoke** withdraws the invitation. In **Revoke this invitation?**, select **Confirm**. The invitation no longer grants access.

An expired invitation can't be resent. Send a new invitation instead. To change the role on an invitation, revoke it and invite the person again with the role you want.

## Accept an invitation

<Steps>
  <Step title="Open the link">
    Open the link in your invitation email. Agentrail shows **Accept your invitation**.
  </Step>

  <Step title="Sign in with the invited email">
    If you aren't signed in, select **Continue to sign up** to create an account, or **Continue to sign in** if you have one. Use the email address that received the invitation.
  </Step>

  <Step title="Check the account">
    Under **Signed in as**, check the email address. If it's the wrong account, select **Use another account**.
  </Step>

  <Step title="Accept">
    Select **Accept invitation**. Keep the page open while Agentrail finishes and opens the organization.
  </Step>
</Steps>

<Warning>
  An invitation works only for the email address it was sent to. With any other account, Agentrail shows **This invitation was sent to a different account. Sign out, then sign in with the invited account.**
</Warning>

If Agentrail shows **This invitation link is unavailable**, open the latest invitation from your email. The link may have expired, been replaced by a resent invitation, or already been used.

Joining an organization by invitation doesn't use up the one organization your account can create.

### Your invitations

In Settings, under **Personal**, select **Invitations**. If you don't belong to any organization yet, select **View invitations** on **Create your organization** instead.

**Your invitations** lists each pending invitation with its **Organization**, **Role** and **Expires** date. You accept an invitation with the link in its email, not from this list.

To turn one down, select **Decline**, then **Confirm** in **Decline this invitation?**. You need a new invitation if you decide to join later.

## Change a role

<Steps>
  <Step title="Open the person's actions">
    On **People**, open the actions menu on the person's row.
  </Step>

  <Step title="Choose the role change">
    Select **Change this member’s role?**.
  </Step>

  <Step title="Pick the role">
    Choose **Member** or **Admin** under **Role**, then select **Confirm change**.
  </Step>
</Steps>

Agentrail confirms with **Membership updated.**

* You can't change your own role. Ask another Admin to change it.
* The last Admin can't be made a Member. Make someone else an Admin first.

## Remove someone

<Steps>
  <Step title="Open the person's actions">
    On **People**, open the actions menu on the person's row.
  </Step>

  <Step title="Remove them">
    Select **Remove member**, then **Confirm change** in **Remove this member?**.
  </Step>
</Steps>

Their access to the organization ends immediately, and their row shows as **Inactive**. To give them access again, invite them again.

You can't remove yourself; leave the organization instead. The last Admin can't be removed.

## Leave the organization

Any member can leave from **General** in Settings with **Leave organization**. An Admin can also leave from the actions menu on their own row on **People**. See [Leave an organization](/docs/guides/organizations-and-workspaces#leave-an-organization).

## Your account menu and Settings

The account menu sits at the bottom of the sidebar and shows your email address. It has:

* **Settings**
* **Use light theme** and **Use dark theme**
* **Sign out**

Settings has two sections. **Organization** holds **Overview**, **General** and **People**; see [Organization settings](/docs/guides/organizations-and-workspaces#organization-settings). **Personal** holds your own pages, including:

* **Account**: your **Profile**, **Appearance** and **Session**. Your name and email come from your sign-in account. Under **Appearance**, choose a **Light** or **Dark** theme; it applies on this device, and Light is the default. Under **Session**, **Sign out** signs you out of Agentrail on this device.
* **Invitations**: invitations to join other organizations. See [Your invitations](#your-invitations).
